PROCEDURE TO INSPECT EDUCATION RECORDS

Students may inspect and review their education records upon request
to The Community College of Baltimore County Campus Registrar, or
their designee, hereafter called the Record Custodian.

Students shall submit to the Record Custodian a written request,
which identifies as precisely as possible the record or records the
student wishes to inspect and review. In addition, proper student
identification must be presented with the written request.

The Record Custodian will make the arrangements for review as
promptly as possible and notify the student of the time and place
where the records may be inspected. Compliance is expected to occur
as soon as possible; access must be given within forty-five (45)
days or less from the receipt of the written request of the student
by the Record Custodian.

When a record contains information about more than one student, the
student may inspect and review only that part of the record, which
relates to the student who requested inspection.

The student has the right to review and inspect all of the
information in his/her record except:
a. The financial statement of the student’s parents.
b. Confidential evaluations and letters of recommendation for which
the student has waived, in writing, his or her right of access, or
which were placed in the student’s record before January 1, 1975.
c. Records connected with an application to attend The Community
College of Baltimore County or a component unit of The Community
College of Baltimore County, if that application was denied.
d. Those records which under FERPA, are excluded from the definition
of education records.

If after inspecting and reviewing his/her records, the student has
any questions, the student may submit to the Record Custodian a
request for an explanation of the information in the record. The
Record Custodian shall arrange for an explanation from the
appropriate College official to the student.

The student has a right to obtain a copy of this policy.
